“The Shentry program was easy to learn, easy to understand and significantly reduced the time needed to complete our entries in 2017. It was a resounding success for us in the first year of operation.

Being web-based meant that access was available to our personnel wherever they could access a computer connected to the internet. This had many advantages for our data entry people, for our treasurer and for me, as Secretary.

My role of keeping an overview of the entries process was very straightforward, since all the information was available from any computer connected to the internet. The readily available search buttons throughout the program made response to queries from the general public and from our stewards very speedy. Similarly, our Treasurer could access and process financial information with ease.

Numerous features simplified and sped up the data entry stages, both for the schools’ personnel who took advantage of the online entry option available to them, as well as for our assistants who were involved in processing the paper entries. Mark Reside (Shentry’s creator) has an excellent understanding of how Shows ‘work’ and his support throughout our Show entries process in 2017 was outstanding. Highly Customisable

The advanced templating system allows you to add additional fields such as text boxes, check boxes, waiver forms and select boxes directly to either the entry form or each individual section as required. The schedule is designed to propogate down through each of the sections, so to add a template to every event below a parent event, simply add the template to the parent.

More than one way to enter.

There is a three step process for entries in Shentry.

  1. A draft entry is created by:
    1. An entrant themselves online by browsing.
    2.  An entrant themselves using the entry form.
    3. A group entry uploading a populated template.
    4. An assistant creating the entry using the entry form
  2. The draft is marked completed, verification is made that all information that is required is entered before completion. When the entry is marked completed, entry numbers are allocated to the entry.
  3. An Assistant reconciles the entry and the entry is marked as entered in show.

We will guide you through the entire system, assist with entry of your schedule, configure your templates, add your accounting groups and much more to ensure your first show runs smoothly.

    • Show Settings
      • Show Details – Automated opening date and closing date for entries, late entry fees for entries after closing dates, front end theme options.
      • Pricing groups – Up to five pricing groups are available, simply give them a name and then they are available to allocate to an entry item.
      • Entrant Template -create custom entry templates which can be linked to a specific entry form and / or linked to an item on the schedule.
      • Language and Headings – Customise the names of the levels within your schedule, class, sub-class, section, make them whatever you require.
      • Accounting Groups – Accounting groups allows the show another layer to produce reports on and group entries coming into the show, independant of the show schedule.
      • Labels and Printing – using a Dymo label printer labels can be printed automatically by assistants, templates can be designed by Shentry to suit your requirements, and multiple label layouts can be allocated to each individual schedule item.
      • Groups and Organisations – Pre enter organisations, groups and schools that are to complete entries in your show, allocate templates to these groups so they can choose from entry forms designed with the required information just for them.
      • Payment Types – Enter the options for payments from your entrants, mark whether they are usable by assistants only or available to the front end entry. Allow for offline payment options such as cheque, money order, or even dropping the money in.
      • Extras – enter the extra items available for adding to an entry such as Show tickets or sponsorship, mark whether they are available to the front end entry. Link an extra item to a pricing group, eg a members ticket will give access to the members pricing group if added to the entry form.
    • Edit Schedule
      • Hierarchy Tree – using a tree view of your schedule, easily drag and drop items to change position, highlight the name to see which template is allocated to the schedule and which accounting group. Add an image, and additional information to any item for the front end website. Specify: the order of the item, whether it can be entered, whether it is a trophy class, whether it is enabled, the accounting group, prices for each price group allocated, a pricing override to ignore the parent pricing and which template to use.
      • Search On – this field is used to populate the search dropdown when entering entries into the entry form.
    • Entries
      • Front End Entries
        • Browse and Add – browse the entire schedule to  find the item you want to enter, fill in the required fields if any are allocated using templates.
        • Multiple Entries – Create multiple entries from the front end with the ability to add a nickname, and change between which entry you want to add entries to at any time.
        • Extras – add extras straight from the front page.
        • Complete Entry – Complete Entry takes you to the entry form to check over the entry before completing the entry and sending it to the assistants for processing.
      • Entry Form Entries
        • Custom Assistant Entry Form – when an assistant does an entry, they can search the previous show’s entries to select an entrant to populate their address details.
        • Multiple Entry rows at once – add as many rows as you require.
        • Auto Fill – Fill down entry details to speed up repetetive entries.
        • Extras – Assistants will see all the available extras.
    • Reconcile
      • Reconcile Online Entries – Online entries are allocated separately to manually entered entries to make for easy reconciles.
      • Reconcile Entries  – Reconcile entries by selecting each entry to be reconciled with a running total and additional information displayed at the top.
      • Previous Reconciles  – View and Print previous reconciles that have been done.
  • Steward’s Books 
    • Manage Steward’s Books 
      • Edit Steward’s Books – make edits directly on the steward’s books, make minor adjustments to entries and change the order of entries simply with the Excel-style editing.
      • Print Steward’s Books – select to print all steward’s books, select anywhere on the schedule tree and print all children sections, choose to print all sections with entries only, sections without entrys or both empty and entered sections. Print place cards for each entered section. Print a Placings report displaying how much money is required for each section for prize money either prior to recording results, or after recording results.
      • Export CSV – if you need to create a custom steward’s book then simply export a csv of the entire schedule, or from anywhere within the schedule tree.
    • Placings 
      • Enter Results – Using a quick entry form, designed to be mobile ready, stewards can quickly enter the results for each section.
      • Entrant Results – entrants will be able to see their results for the current show and previous years results on  their My Account page.
    • Accounting
      • Owing Monies – easily see which entries have outstanding payments.
      • Show Overview – Print reports and view a visual overview of your show, displaying many aspects of your show, how many entries over time, total number of entries per schedule item, total number of entries by accounting group and many more.
      • Export – export your reconciles to Excel allowing you to import them into your accounting package.
    • Show Management
      • End of Show – once your show is complete, can end the show, and rollover, ready for next year. This will copy all the schedule to a new show and link the entrant database to the previous show, to allow for quick manual entry of entrants in the next show. You can then start adjusting the schedule for the next year if required. Access to the previous year results are still available.
    • More to come
      • Additional Features – If all goes well with the launch the features below will be developed and added to the system.
        • Xero Integration – import entry payment information directly into Xero automatically.
        • Phone App  – an IOS and Android  phone app for easy show entry by entrants, assistants, and for stewards to enter results.

What help do you get when you sign up?

After signing up we begin the on-boarding process. We believe the best way to get you up and running utilizing all the features Shentry has to offer is if we assist you in setting up your first show. To do this we need to get to know all about your show, to do this we will:

  • Either via phone or email, go through a question and answer session to get to know all about your show.
  • Decide on what features you want to use so we can configure Shentry to suit your requirements.
  • Get access to any electronic versions of your schedule and previous years entrants lists (if available)
  • We will then assist you to configure Shentry to suit your show.
  • Once the schedule and templating is complete, we will run you through your show completing a few entries.
  • When you are happy everything is looking good, we will clear your show of test data and you’re ready to go.

Does Shentry work in all Browsers?

Yes. But Shentry is optimized to work in the Google Chrome browser.

What about Label Printing?

Shentry is designed to work with Dymo Labelwriter Label Printers and will print directly to labels when printing entries.
